Clinic Policies
Professional, Ethical and Patient-Centred Care
At GAIA GOLDEN AGE® Homeopathy & Vital Force Clinic, we are committed to providing professional, respectful, confidential, and individualised homeopathic care.
Our Clinic Policies explain the standards that guide our consultations, communications, prescriptions, appointments, patient records, and professional relationships. We ask every patient to read these policies before booking a consultation.
By booking an appointment with the clinic, you confirm that you have read, understood, and agreed to the relevant clinic policies, consent requirements, and booking terms.
1. Scope of Our Services
The clinic provides individualised homeopathic consultations, follow-up care, acute consultations, educational guidance, and homeopathic prescriptions where appropriate.
Our practitioners do not diagnose medical emergencies, prescribe conventional prescription-only medicines, or replace the care provided by a GP, hospital, consultant, or other regulated healthcare service.
Homeopathic care is offered as a complementary approach. Patients should continue to follow the advice of their GP or other medical professionals and should never stop or alter prescribed medication without consulting the original prescriber.
2. Medical Emergencies
The clinic does not provide emergency medical services.
If you or another person is experiencing a medical emergency, severe deterioration, difficulty breathing, loss of consciousness, signs of stroke, serious injury, risk of self-harm, or another urgent situation, contact the appropriate emergency service immediately.
In the United Kingdom, patients should contact 999 in an emergency or NHS 111 when urgent medical advice is needed but the situation is not life-threatening.
Do not wait for a reply from the clinic in an emergency.
3. Consultations
All consultations are currently conducted online at a pre-arranged time.
Patients are responsible for:
-
Providing accurate and complete health information
-
Informing the practitioner about medications, supplements, diagnoses, investigations, and ongoing treatments
-
Completing required forms before the appointment
-
Attending from a quiet and private location
-
Ensuring that their internet connection and device are suitable for the consultation
-
Informing the clinic promptly if their contact details or health circumstances change
Consultation times may vary slightly depending on the complexity of the individual case.
4. Children and Young People
A parent or legal guardian must provide consent for the treatment of a child or young person who cannot legally provide consent independently.
The parent or guardian must normally be present during the consultation and is responsible for providing accurate information about the child’s medical history, current treatment, symptoms, and wellbeing.
The clinic may recommend conventional medical assessment whenever this is considered necessary for the child’s safety.
5. Appointments, Rescheduling and Cancellations
Payment is required when booking unless another arrangement has been agreed in writing.
Patients who need to reschedule or cancel an appointment should contact the clinic as early as possible.
Appointments cancelled or rescheduled with at least 24 hours’ notice may normally be moved to another available date without an additional consultation charge.
Late cancellations, repeated rescheduling, or failure to attend may result in the consultation fee being retained, except where exceptional circumstances apply.
Any cancellation charge should remain reasonable and reflect the clinic’s genuine loss rather than operate as a punishment. UK consumer guidance states that businesses should generally retain only amounts connected to actual losses arising from a cancellation. (GOV.UK)
Where statutory consumer cancellation rights apply to an online booking, those rights will be respected. Patients who request a service to begin during an applicable cancellation period may be asked to provide express consent before the service begins. (GOV.UK)
6. Late Arrival and Missed Appointments
Patients should join their online consultation at the scheduled time.
If a patient arrives late, the consultation may still need to finish at the original scheduled time to avoid delaying other patients.
If the practitioner is unable to contact the patient or the patient does not attend, the appointment may be treated as a missed consultation.
The clinic will always consider exceptional circumstances fairly and compassionately.
7. Homeopathic Prescriptions
Homeopathic prescriptions are individualised and prepared only after the practitioner has reviewed the patient’s case.
A prescription may include:
-
The selected remedy or remedies
-
Potency
-
Dosage
-
Frequency
-
Instructions for use
-
Follow-up recommendations
Patients should take remedies only as instructed and should not repeat, increase, reduce, or share a prescribed remedy without discussing it with their practitioner.
A remedy prescribed for one person should not be used by another person merely because their symptoms appear similar.
8. Remedy Preparation and Delivery
Where available, prescribed remedies may be prepared and dispatched to an address within the United Kingdom.
Delivery times may vary according to remedy availability, pharmacy processing, postal services, weekends, holidays, and circumstances outside the clinic’s control.
Patients are responsible for providing a complete and accurate delivery address.
For patients outside the United Kingdom, the clinic may provide a written prescription or guidance so the patient can obtain the remedy from a reputable supplier in their own country, subject to local laws and availability.
9. Follow-Up Care
Follow-up consultations are used to evaluate changes in symptoms, energy, sleep, mood, general wellbeing, and the patient’s response to treatment.
Patients should report changes honestly and avoid changing the agreed treatment plan without consulting the practitioner.
The frequency of follow-up appointments depends on the individual case. Treatment outcomes and timescales cannot be guaranteed.
10. Communication Between Appointments
The clinic may provide reasonable administrative or treatment-related communication between appointments.
Email or messaging services should not be used for emergencies, urgent diagnosis, or lengthy clinical consultations.
New symptoms, substantial changes in health, or complex questions may require an acute or follow-up consultation.
Response times may vary outside normal working hours, at weekends, during holidays, or when the practitioner is attending other patients.
11. Confidentiality and Patient Records
The clinic treats patient information with care and confidentiality.
Clinical information may include consultation notes, medical history, forms, prescriptions, correspondence, treatment progress, and administrative records.
Access should be limited to authorised individuals who genuinely require the information to provide or administer the service.
Health information receives additional protection under UK data protection law. The clinic must identify and document both a lawful basis and an appropriate special-category condition for processing such information. (ICO)
Further information about how personal information is collected, stored, used, shared, retained, and protected is available in our Privacy Policy.

12. Online Privacy and Technology
The clinic uses selected digital services for appointments, forms, communications, scheduling, payments, and secure record administration.
Although reasonable safeguards are used, patients should also protect their privacy by:
-
Using a private device where possible
-
Creating secure passwords
-
Avoiding public Wi-Fi for confidential consultations
-
Joining appointments from a private environment
-
Not forwarding confidential meeting links
-
Informing the clinic immediately if information has been sent to the wrong person
Online consultations must not be recorded by either party without prior express agreement.
13. Consent
Patients must provide informed consent before treatment begins.
Consent includes an understanding of:
-
The nature of the homeopathic service
-
The complementary role of homeopathy
-
The limitations of the service
-
The use of personal and health information
-
The patient’s right to ask questions
-
The patient’s right to withdraw consent, subject to legal and record-keeping obligations
A separate consent form may be required before the first consultation.
Read or Complete the Patient Consent Form
14. Respectful Conduct
Patients, practitioners, staff, and contributors must communicate respectfully.
The clinic does not tolerate abusive, threatening, discriminatory, harassing, or inappropriate conduct.
The clinic reserves the right to end or decline a professional relationship where trust has broken down, boundaries are repeatedly ignored, fees remain unpaid, essential information is withheld, or continuing care would be unsafe or inappropriate.
Where possible, the clinic will explain the decision and encourage the patient to seek appropriate alternative support.
15. Professional Boundaries
The practitioner–patient relationship must remain professional.
Practitioners will not enter into personal, financial, or inappropriate relationships that could compromise professional judgement, confidentiality, or patient wellbeing.
Testimonials, photographs, case studies, recordings, or personal stories will not be used publicly without separate and explicit permission.
16. Results and Limitations
Every patient responds differently, and no specific result, recovery, improvement, or treatment timescale can be guaranteed.
The practitioner will review progress carefully and may recommend medical assessment, diagnostic testing, specialist care, or another appropriate service where necessary.
The clinic will not make claims that homeopathy can replace emergency care, vaccination, essential conventional treatment, or medically necessary investigation.
17. Complaints and Concerns
We aim to resolve concerns respectfully, fairly, and promptly.
Patients who are dissatisfied with any aspect of the service should contact the clinic in writing and provide:
-
Their name
-
Appointment date, where relevant
-
A clear explanation of the concern
-
The outcome they are seeking
-
Any supporting information
The clinic will acknowledge the concern and investigate it appropriately while protecting confidentiality.
